    EDITING STATION MUSIC CALENDAR:

find out how this works again...

all DJs at the station can update their station's music calendar, which is DJ recommended monthly calendar view of concerts and events viewable from the station detail page.

who can add modify or delete events to our station music calendar?

all DJs and station managers with the proper station DJ login priviledges to the particular station.

    where will events show up?

the station music calendar is linkable from the station detail page.

will events on the station music calendar show up on listeners personal calendars as well?

only if a listener has the band in his/her favorits collection and his/her metro area is the same as the event's.   this is the main way how listeners will have events showing up on their personal calendar of favorits...

can events added by listeners show up on our station music calendar?

not unless a DJ from the station adds the same event to the station music calendar.  listeners can add events of bands added by participating DJs (they can not add bands themselves to the system).

for example if a DJ at one of the stations plays "The Fuckemos" adding it to the system, then any listener anywhere can add Fuckemos concerts to any venue of any metro area - correct or not - but they can not add the Fuckemos if no DJ in the system ever played them adding them to the system...

add an event to the calendar?

you can add calendar events by clicking on the "edit station music calendar" link on the DJ OFF AIR menu page.  see the appropriate help page for more help.

why do I need to choose a "metro area"?

each event in the system has to have the metro area asociated with it where the event is happening.   generally stations add their music calendar events to their own metro areas.  therefore the drop-down box of metro areas defaults to the station's metro area when the page is loaded so no selection is necessary.

if you find that this is not the case, write to help@grapefruitmusic.org so that we can correct this for your station.

what if I don't see the metro area of the event?

click on the "create new metro" link next to the drop-down of metro areas.  read more about adding new metro areas to the system on the appropriate help page

what if the metro area pre-selected for my station is incorrect?

write to help@grapefruitmusic.org so that we can correct this for your station.

what if I don't see the venue of the event?

click on the "create new venue" link next to the drop-down of venues to create a new venue IN THE SELECTED METRO AREA.   read more about adding new venues to the system on the appropriate help page

what if the venue info I see is incorrect?

write to help@grapefruitmusic.org so that we can correct this for your station.  in the near future DJs will be able to delete or modify venues, OR alternatively listeners will not be able to add new venues, whichever will seem to be a better way...

what if the event is already in the dropdown box but is incorrect?

DJs can choose to either add their own right version of the event, then select that for the station, or choose the event that was incorrect for the station if the error is insignificant.  in the near future DJs will be able to change or delete events.

what if I need to change some info on the event after I added it?

to change or delete an event click on the image of the day where the event is on the calendar.  then you will be able to click to update or delete events already on your station's music calendar or add new events for that day.

any DJ at the station can update or delete station music calendar events (even if another DJ was adding the event to the calendar...)

    what is the "concert name"?

it is something like "KVRX benefit" or "Joey's Birthday Bash" which has many concerts and bands associated with it.   it is NOT the band's name...

why is the time always "3:00 AM"?

because that is the probable latest time when an event will start.  plus when you click to select from the drop-down you won't have to scroll to your time; it is already displayed.

which one to push, "Add this and continue" or "Add this and more"?

"Add this and continue" will add an event to the venue you selected, then takes you back to the caledar where you can add events to different days.

"Add this and more" will let you add more than one event to the same venue you selected (on the selected day and in the selected metro area) without going back to the calendar view and navigate back to the same day same venue, saving you time...

what if I want to add more than one event at a time to different venues?

click on the "Add this and continue" button which will take you back to the calendar where you can navigate from the same way.

why is the "choose concert" drop-down box empty in step 3?

because nobody added any events on that day to that venue yet.  once YOU add an event, EVERYONE will see your event you added in the drop-down bow if they navigate to the same venue on the same day.

how did these events show up in the "choose concert" drop-down box in step 3?

DJs added the bands to the system, then either DJs or listeners added the events to the day and venue you are looking at.

change or delete events from the calendar?

to change or delete an event click on the image of the day where the event is on the calendar.  then you will be able to click to update or delete events already on your station's music calendar or add new events for that day.

any DJ at the station can update or delete station music calendar events (even if another DJ was adding the event to the calendar...)

who can change or delete events from the calendar?

all DJs at your station can change ALL station calendar events.

update the venue for an event already added?

delete the event, then re-add it.

update the band name for an event already added?

delete the event, then re-add it.  if the band name is just mis-spelled, you can choose to add the band with the right spelling and re-assign signed up favorits.

add new bands to the system while adding events?

DJs can add new bands to the system when they can't find existing bands for an event.  this is done by the system in the same step, when adding calendar events or adding bands to playlists.

find out the metro area of the event?

you can find out the metro area for an event by clicking on the event's or the day's date link on the calendar.   the metro area is always the metro area of the venue where the event takes place.

change the metro area of the event?

you have to delete the event and add it to a different venue - which is in a different metro area.

how far in the future can I add events?

as far as the calendar goes...

what about past events; when are they cleared from the system?

to be determined; but past events will be cleared from the system probably weekly, montly or daily, depending on the volume of data accumulated.

verify that your events added show up on the calendar and are seen by everyone?

click to the station detail page of your station from the home page, where all the stations are listed, then click on the "music calendar" link to verify your changes, as seen by everyone.

    MANAGING YOUR PLAYLIST:

    find my past playlists?

you can find your past playlists by clicking on the "manage your past playlists" link on the DJ OFF AIR menu page.  see the appropriate help page for more help.

make my playlist public or private (for the public to see)?

you can only do this if your station manager set you up to be able to make this choice for yourself.  in this case you can make your choice on the top of your past playlist maintenance page.

make playlists for individual shows public or private?

you can ONLY set ALL of your past playlists public or private; you can not be more granular...  note however that the station's MOST RECENT TOP 10 SONGS viewable on the station detail page by all listeners is ALWAYS PUBLIC, therefore always visible by listeners checking out what your station is playing currently, regardless of your or your station manager's choice.

change the band name on my playlists?

from the manage your past playlists pageyou can delete the band and insert another playlist item after the previous playlist item:

    • copy the "playtime" column of the playlist item you want to change - this is needed to insert the new item with the same time!

    • delete the playlist item by clicking on the "delete" link of the row under the "action" column. - the page will refresh without the column you deleted

    • click on the "insert after this" link of the row that WAS BELOW THE ROW YOU JUST DELETED, the song after which you will insert your replacement item - you will go to the "insert new playlist item" page

    • click on the first letter of the band you want to insert as a replacement - you will be asked to pick an existing band starting with that letter or create a new band in the system

    • paste the copied playtime you copied in the first step to the "playtime" column - you are replacing the playtime (that is set to 10 seconds after where you clicked to insert a new playlist item) with the original playtime of the item you are replacing

    • after you click the "insert" button, your old playlist item with the wrong band will be replaced with the new band you just inserted with the same playtime

NOTE: if listeners clicked to "Add current band to my favorits!" button on the station detail page, then after you replaced the band in the playlist item, they will have the "wrong band" in their favorits collection.  this is an "Oh Well" side effect...  what you can do is to enter the correct bands in your playlists so you don't need to send your listeners to the "wrong concert"...

    see other DJs playlists?

you can not see other DJs playlists from the maintenance page.  you can look at their playlist from the station detail page if you click on the "past playlists" link

why isn't there a calendar view for past playlists?

there will be one in the future...

how far back will the playlists be kept?

ideally all the way.  if the data gets too big, after a while old playlist items might be moved aside and archived, but they will always be made available to the stations.

what kind of reporting is available on past playlists?

right now playlists are viewable to listeners through a monthly calendar view for each day.  search functionality is available within the day.  other alternatives will be possible through the summary reports under development.

MANAGING YOUR DJ AND SHOW INFO:

what info can grapefruitmusic hold on DJs and their shows?

  • DJ name

  • shows assigned to DJ at the station

  • outside URL linking to existing DJ's web page

  • description of the DJ, by the DJ

  • show name

  • scheduled times for the show

  • DJs of the show

  • outside URL linking to existing show's web page

  • geners of the show given by the DJ

  • description of the show
  •

I already have my own site about my show and myself; can I inlcude them on this site?

yes, you can include your outside URLs for your DJ and for your show.

    update my DJ info?

fill out the fields and push the "Update" button on the bottom of the page.  for more info see the appropriate help page.

    update my shows' info?

click on the link to update your show by the "shows of DJ:".  then fill out the fields and push the "Update" button on the bottom of the page.  for more info see the appropriate help page.

I don't have any shows assigned to me; how can my shows be assigned to me?

ask your station manager or their delegate to assign you a show.  if you don't know who has the station manager login at your station, write to help@grapefruitmusic.org.

how is the station program schedule set up?

it is set up by your station manager (or delegate) through the edit station program schedule page.

why can't I change my show times?

because if every DJ could update the schedule, there is a potential for a big mess and a screwed up looking program schedule.  it is better to be maintained by one person who updates it shenever the schedule changes - typically few times a year.

my show assignments and show times are wrong; how can I change it?

ask your station manager or their delegate to assign you a show or change schedule times for you.  if you don't know who has the station manager login at your station, write to help@grapefruitmusic.org.

verify that my DJ and show info is correct after I updated it?

click to the station detail page of your station from the home page, where all the stations are listed, then click on the current show and DJ's links (if you are ON AIR doing your show right now) or click on the "program schedule" link, then look for your show or DJ link to verify your changes, as seen by everyone.

    LOOKING AT WHAT'S UNDER DEVELOPMENT:

what do you mean; what is this?

there are lots of plans for future development for the system.  in addition issues, suggestions and bugs need to be worked up and scheduled by priority.  all items are listed by priority from top (highest) to bottom ( lowest).  we want to share with you what is on our schedule and let you know that we are working on your suggestions and bug fixes.

each item will be either a

    • "Missing Functionality" - functionality that was planned to be in the current release (but is not yet; is under development...)

    • "Bug" - bugs that need to be worked off because the system is not functioning properly

    • "Next Phase Functionality" - functionality planned and announced for the next phase; these ideas MAY be posted in advance to let DJs know of what's coming.

I don't see anything under "completion date" and it is red; what does this mean?

the items are not completed yet.  when they are, we will change the table cell to green color and enter a date of completion.

how did all these issues, bugs got into the system?

either we discovered them or you let us know by sending an email to help@grapefruitmusic.org

    who decides the priority?

we do, based on the sensed urgency and importance - from you.

I have some ideas for you as well, how do I let you know?

    write to help@grapefruitmusic.org

    EDITING AND MANAGING BANDS:

who can add, modify and delete bands to the system?

all DJs of all the participating stations.  listeners can only add EVENTS of already EXISTING bands in the system.

how can bands be added to the system?

    bands can be added when

    • DJs entering playlist items while ON AIR

    • DJs adding events to their station's music calendar

    • DJs inserting new playlist items to their past playlists

    • DJs inserting new bands to their personal listnerer favorits

    • DJs inserting new events to their personal favorits calendar

NOTE: the last two options are available on the listener's personal area page ONLY for station DJs, not for registered listeners.

how can bands be deleted from the system?

this will be possible from the band maintenance page under development.

how to update band info and band name (if mis-spelled...)?

this will be possible from the band maintenance page under development.

what needs to be done when there are two versions of the same band with mis-spelled names?

this will be possible from the band maintenance page under development.   DJs will be able to request the deletion of bands (ie. Britney Spears...), correction of mis-spellings, and re-assignment of favorits (if some listeners added "FALL" and others added "FALL, THE" to their favorits collection then when a DJ requests that the "FALL, THE" is the correct spelling, listeners' favorits of "FALL" need to be assigned to "FALL, THE" so that works for all.

how will different DJs updating band descriptions for the same bands work?

this will be possible from the band maintenance page under development.   each DJ can submit a fixed length review of the band which will be appended with the DJ's and his/her station's name to the rest of the descriptions.  listeners will then be able to see all of the reviews concatenated.
